We are seeking a Facilities & Operations Manager for our elementary school to help with the work we do.

Department Function:

Passages Charter School, part of Asian Human Services, Inc. (AHS), is a Pre-K to 8th grade charter school in Chicago’s Edgewater neighborhood, where immigrant and refugee children learn side-by-side with children from Chicago area neighborhoods. Passages offers a tailored educational program focused on high academic standards and instruction based on students’ individual needs.

Job Function:

The Operations and Facilities Manager plays both a key strategic and operational role within our organization to efficiently manage our school facility. This position is also charged with creating and maintaining a welcoming environment for students, staff, families, and visitors. The ideal candidate will be passionate about process improvement, creating efficiencies, and providing an environment where employees have their potential supported and realized.

Responsibilities include but are not limited to:

Manage the day-to-day operations and facilities to ensure a safe and productive work environment.
Receives, and proactively responds to, building service requests.
Oversees and ensures building set-up for meetings, events, etc.
In consultation with the leadership – proactively recommends budget for anticipated and unanticipated repairs and building needs.
Develop and maintain the school buildings capital improvement leadership to develop and prioritize the school’s capital improvement plan.
Review work orders with current and prospective vendors; including bus transportation, food service, and facility lease.
Solicits bids when required and ensures the organization receives good value for all vendor/contractor supplied goods and services.
Works with Human Resources to manage incident reporting and ensure OSHA and ADA compliance.
Develop ongoing communication and staff training on policy and conduct required for successful emergency evacuation/fire/active shooter drills at each site, first aid training (CPR/AED) and all other necessary training.
Ensures compliance with State, Federal and local laws, policies, and regulations.
Develop and conduct safety assessment of the facility including but not limited to security/closing procedures and after-hour employee access by site.
Keeps senior leadership apprised of any operational issues and coordinates with senior leadership on any new policy needs.
Consult with senior leadership regarding space issues and recommend appropriate actions.
Develop short-term (12 month) and long term (3 year) facility plan to include budgets.
Serve as technical advisor to education program.
Oversees all capital projects, repairs, cleaning and building maintenance.
Work on projects as assigned or required by senior leadership in support of the Strategic Plan.
Oversee facilities and building maintenance/janitorial staff.
Performs employee evaluations and makes hiring recommendations for direct reports.
Actively participates in the strategic planning for the Agency.
Qualifications (Skills/Knowledge/Abilities):

Bachelor’s degree in Facilities Management, Business Administration, or related field; five plus years of experience in facilities or property management or quality control.
Experience with budgeting and strategic planning.
Knowledgeable of State and City building codes, with particular emphasis on schools.
Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.
Ability to write reports, business correspondence, and procedure manuals that conform to prescribed style and format.
Ability to utilize Microsoft Office products at an advanced level.
Strong written and verbal communication skills.
Ability to use good judgment in handling difficult situations.
High degree of initiative and sound decision-making ability.
Ability to work collaboratively within the organization and lead change.
